What Is Document Legalization?

Legalization is a destination-country step

When a Canadian document is used abroad, the receiving authority may require confirmation of the official signature or seal. Consular legalization and an apostille are different routes. The process depends on the destination and the document, not simply on where the applicant lives.

How apostilles change the route

Canada’s Apostille Convention participation took effect on January 11, 2024. For use in another Convention country, an apostille generally replaces the additional consular legalization step. For a non-Convention destination, a mission may still require legalization after authentication. Confirm the applicable route with the receiving organization and destination mission. Read Global Affairs Canada’s requirements.

Notarization is a separate question

Some documents need notarization before authentication, while others can be submitted in their issued form. Do not assume every certificate needs a notarized copy. Ask whether the recipient wants the original public document, a certified copy, a declaration or a translation, and identify the competent Canadian authority for that document.

Prepare before sending originals

  • Identify the destination country and receiving organization.
  • Check the document type, issuer and place of notarization, if relevant.
  • Confirm translation, recency and original-versus-copy requirements.
  • Check the authority’s submission, return-delivery and fee instructions.
  • Keep a complete copy and note any application deadline.

Find the right starting point

Use Find Your Country for destination guidance and official mission links. If you need assistance, send the office the document name, issuing jurisdiction, destination and recipient’s instructions. Authentication does not decide the underlying legal effect of the document or guarantee its acceptance for every purpose. Contact Notaryspace to discuss the preparation route.
