Notarial help for personal and business documents

A request to “notarize a document” can mean several different things. You may need a certified true copy, a witnessed signature, or an affidavit or declaration. Start with the instructions from the institution, employer, government office or foreign authority receiving your document. Tell us the exact service requested so the appointment addresses its requirements.

Choose the service your recipient requires

Certified true copies — in person

Bring the original document so the notary can compare it with the copy. Examples include identity documents, diplomas and other records where the recipient accepts a certified copy. A photograph or scan does not replace presenting the original. Confirm the number of copies and whether every page needs certification.

Witnessing signatures

Bring the complete document and leave the relevant signature section unsigned. Tell us if additional witnesses are required. A power of attorney, consent or business document may have particular execution rules; send those instructions before booking.

Documents for overseas use

Notarization may be one stage of preparing a document for another country. It does not itself replace an apostille or consular legalization. Check the international document process.

Your appointment checklist

  • Identification: bring current government-issued photo ID and ask about acceptable identification before attending.
  • Complete paperwork: include all pages, schedules, attachments and the recipient’s instructions.
  • Originals for certified copies: bring each original, even if you have already emailed a scan for review.
  • People signing: each required signer should attend with their own ID. Ask in advance about any independent witness requirements.
  • Intended use: specify the receiving organization and country, deadline and required number of originals or copies.

Check that your name matches your identification. If it does not, explain the difference before booking. Tell us about interpretation or accessibility needs so we can discuss arrangements.

From inquiry to completed document

  1. Describe your request. Tell us what the recipient asked for and whether you need a copy certified, a signature witnessed or a statement commissioned.
  2. Confirm preparation and price. Our office reviews the request and explains what to bring. Ask whether document drafting, additional witnesses or international processing is needed.
  3. Attend the appointment. Present the required originals and identification. Sign when directed if the notary must witness your signature.
  4. Review before submitting. Check names, completed sections and the number of copies. Keep a copy for your records and follow the recipient’s submission instructions.

Notarization fees

The attestation fee is CAD $37.95. Ask our office to confirm the total for your documents and number of signatures or attestations, including applicable taxes and any additional services. Drafting, extra copies, translations, government processing and delivery may involve separate charges where requested. Confirm your quote before proceeding.

In-person notarization and remote commissioning

Ontario notarization requires physical attendance. Certified true copies at Notaryspace are available in person only. An online meeting is not a substitute for presenting the original for this service.

Some affidavits or statutory declarations may instead be eligible for remote commissioning, subject to applicable requirements and recipient acceptance. Ask us to review the exact document before requesting an online appointment. See Ontario’s guidance for notaries public and the remote commissioning regulation. Guidance checked October 31, 2026.

Frequently asked questions

Can you certify a copy from a scan?

For our certified true copy service, bring the original to an in-person appointment. If your document was issued electronically, explain how it was issued so we can review the recipient’s requirements before you attend.

Will notarization make my document valid everywhere?

No. The recipient decides the form and evidence it accepts. Notarization does not cure missing information, replace legal advice about the document, or guarantee acceptance in Canada or abroad.

Can I bring a document already signed?

Tell us first. Where a signature must be witnessed, you need to sign as directed at the appointment. Requirements vary according to the notarial act requested.

Do all documents need notarization?

No. Some recipients accept an ordinary copy or an unsworn form. Ask for written requirements before paying for a service that may not be needed.

Can I prepare a form online first?

Yes. Visit Templates & Forms, enter your details and download the document for review. Leave signatures and notarial certification for your appointment. Use the recipient’s official form where required.
