NDA Signing & Notarization: Ontario Preparation Guide

NDA notarization

1. Confirm the requested signing formalities

A non-disclosure agreement sets out obligations concerning confidential information. Before booking, ask the other party or the professional who prepared it whether a witness or notarial act is required and what certificate wording is expected. Do not assume every NDA needs notarization simply because the document is important.

2. Review the agreement before the appointment

Check the parties’ legal names, signing capacity, document version and any schedules. Resolve questions about the information covered, permitted disclosures, duration and consequences of a breach with the professional advising you. A signing appointment should not be treated as a substitute for reviewing the agreement’s terms.

If a business is signing, confirm the legal entity name and the signatory’s title and authority. Avoid adding handwritten changes after the parties have approved the final version without first confirming how those changes should be handled.

3. Prepare for the requested act

  • Bring the complete final agreement and all attachments.
  • Bring valid government-issued photo identification.
  • Provide the recipient’s instructions for witnessing or certification.
  • Leave the signature area and official certificate blank until instructed.

Confirm how many original copies are required and whether each signer will attend the same appointment. Ontario’s notary guidance distinguishes notarization from remote commissioning; contact the office before choosing an online service.

4. Check delivery and keep your copy

After the requested signing process is complete, check that the parties receive the correct version and that all schedules remain attached. Store a complete copy securely. If an agreement is intended for overseas use, ask the recipient about translation or authentication separately. Contact Notaryspace with your signing instructions to confirm the appropriate appointment.
